Festival Assistant, Bantam Jeep Heritage Festival

We’re looking for an ambitious junior, senior or recent grad who has a can-do attitude, an abundance of energy, and an ability to juggle multiple projects. The successful candidate needs to be comfortable leading others, has strong writing skills, loves coordinating details and is eager is contribute with his/her design, media relations, and organizational abilities.

  • Internship Dates: Mid-February-June 30
  • Hours Needed: Two days per week between February and May. Position becomes full time from Mid-May – June 30 (after Finals week)
  • Position reports to: Festival Director and Festival Coordinator

Overview:

The Friends of the Bantam Jeep Association, Inc. (FBJA)/Bantam Jeep Heritage Festival is seeking a proactive and personable PR/Marketing intern who enjoys planning events, writing promotional materials and interacting with consumers. Our Festival Assistant will gain an incredible amount of real-world hands-on experience working on the Bantam Jeep Heritage Festival which will take place annually the second weekend of June.

The Festival Director, Festival Coordinator and Festival Assistant are the only staff dedicated to the event and the staff supports the needs of the volunteer Festival Planning Committee. The Festival Assistant will write news articles, sponsor letters, promotional copy, email blasts, correspondence, etc. The Assistant will assist with the planning and execution of many event details and will be responsible for various administrative and logistical aspects of the event. He/she will also be needed to work additional hours during the event, including working all day and some evenings on Friday, Saturday and Sunday. The Assistant will work on wrap-up and reporting through June 30.

Essential job functions:

  • Answer Jeep related phone calls and also answer some calls coming into the office
  • Provide directory assistance, forward phone calls to appropriate staff person
  • Track all Jeep publicity and Festival Information in binders
  • Assist with retrieving and organizing sponsor/vendor information, requests
  • Navigate internet to conduct research
  • Assist with updating information including online calendar postings
  • Write copy and send Festival e-blasts after approval using Constant Contact
  • Write news articles for Festival inserts (Tribune Review or Butler Eagle)
  • Create simple flyers as assigned
  • Update and research various databases in Excel
  • Assist with packet week coordination
  • Post information on Jeep club forums
  • Create templates for spreadsheets, etc.
  • Coordinate with Jeep owners in the history exhibit
  • Make follow-up calls
  • Acquire price quotes for necessary supplies
  • Determine number of materials needed for events
  • Gather information and develop price agreements with contractors
  • Assist customers with online registration
  • Other duties as assigned by Festival Director or Festival Coordinator

Qualifications:

  • Excellent writing, editing and communication skills
  • Ability to multi-task and manage various assignments from multiple staff members simultaneously
  • Must have completed some public relations courses
  • Computer knowledge of word processing, database, internet and email
  • Knowledge of Microsoft Word, Excel, Google Drive/Gmail are preferable
  • Strong organizational skills, ability to prioritize projects
  • Interpersonal skills, ability to work well with others and maintain a positive attitude
  • Ability to operate office equipment including but not limited to phones, copier/fax, and personal computer
  • Previous internship experience preferred
